Question 8:
Does SimpleSYN support Outlook 2010 in the “Click-to-Run” version?

Answer:
Yes, the current version of SimpleSYN supports the “Click-to-Run” version of Outlook 2010 with the exception of auto start. We recommend, however, that you use SimpleSYN with a full installation of Outlook 2010.

If SimpleSYN finds a “Click-to-Run” version during installation, it will create additional icons in the Start Menu and on the Desktop for starting SimpleSYN with the “Click-to-Run” version of Outlook. Start SimpleSYN over this icon if you wish to use SimpleSYN with Outlook 2010 (Click-to-Run). If you also have an older version of Outlook installed with which you wish to use SimpleSYN, simply start SimpleSYN over the standard icon.

Please note the following restriction:

SimpleSYN’s auto start will not work with the Click-to-Run version. To nevertheless start SimpleSYN automatically during user login, copy the Start Menu icon “SimpleSYN (Click-to-Run)” or “SimpleSYN Business (Click-to-Run)”, respectively, into the Start Menu folder “Startup”. Start SimpleSYN without Click-to-Run and deactivate the check box “Start with Windows” under “Options”.

Question 9:
Can SimpleSYN be installed under Windows Server 2003 or Windows Server 2008?

Answer:

Yes, SimpleSYN will also run under Windows Server 2003 or Windows Server 2008 and newer. However SimpleSYN was not optimized for use with a server operating system. Please note the following when using SimpleSYN on a server operating system:

  • No Windows Service is installed, a logged on user is required for synchronizing
  • An Outlook installation is required

Question 10:
I received the message “Select destination folder”. What do I have to consider?

Answer:

The message “Select destination folder” appears when the highest folder level in Outlook (e.g. Personal Folders) has been labeled differently on the SimpleSYN client and SimpleSYN server computers. In this case SimpleSYN cannot automatically assign target folders to one another, because no new PST files are not created by SimpleSYN.

Click on the link “Choose a different destination” and select the folders into which SimpleSYN should synchronize.

As an alternative you can simply give all computers the same name for the highest folder level.

Question 13:
SimpleSYN cannot establish a connection; the symbol in the notification area of the Windows®-Taskbar on the SimpleSYN client computer is gray

Answer:

If SimpleSYN cannot establish a connection please note the following:

  1. Make sure that SimpleSYN is correctly installed and running on client and server computer.
  2. At least one computer must be configured as a SimpleSYN server, a second as a SimpleSYN client.
  3. Install the newest SimpleSYN version on all the computers you wish to synchronize.
  4. Make sure that your computers have established a connection over the local network and can communicate with one another. If you are making use of Internet synchronization make sure that both computers have a working Internet connection.
  5. Check if the time is correctly set on both computers. Synchronize the time on both computers.

If a Peer Name Resolution-Protocol is being used:

  1. Make sure that the correct server name was entered on the SimpleSYN clients.
  2. Make sure that the password was entered correctly.
  3. Make sure that the Internet synchronization is enabled or disabled on all computers. This setting must be identical on the SimpleSYN server and all SimpleSYN clients.
  4. Make sure that the setting “Use PNRP“ is identical on all computers.
  5. Make sure that the option “Use Secure Peer Name“ is identical on all computers.
  6. If do not wish to synchronize over the Internet, you can deactivate the use of the Peer Name Resolution-Protocol. Further information can be found here.

If a Peer Name Resolution-Protocol is not being used:

  1. Make sure that the correct computer name of the SimpleSYN server was entered on the SimpleSYN clients.
  2. Make sure that the setting “Use PNRP“ is identical, in other words deactivated, on all computers.
  3. Make sure that name resolution is working in your network. Instead if the computer name you can also enter the IP address of the SimpleSYN server on the client computers.

Please check your firewall settings. Further information on the firewall settings required by SimpleSYN.

Question 14:
Why are e-mails sometimes shown twice during synchronization?

Answer:

Duplicate e-mails can occur when e-mails from more than one computer being synchronized are requested from the e-mail server. This is the case if the function “Leave copy of messages on the server” was activated in a POP3 E-mail account.

In this case deactivate the Outlook function “Leave copy of messages on the server” so as not to save e-mails in your mail server and download them repeatedly.

To deactivate this function follow these steps:

Outlook XP (2002) and Outlook 2003

  1. Open Outlook
  2. In the menu “Tools” click on “E-mail Accounts“
  3. Enable “View or change existing e-mail accounts“ and click on “Next”
  4. Highlight the POP3 E-mail account in question and click on “Change”
  5. Click on “More Settings“
  6. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server “
  7. Confirm the changes by clicking “OK“
  8. Click on “Next“ and then on “Finish“

Outlook 2007

  1. Open Outlook
  2. In the menu “Tools” click on “Account Settings“
  3. Highlight the POP3 E-mail account in question and click on “Change“
  4. Click on “More Settings“
  5. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server“
  6. Confirm the changes by clicking “OK“
  7. Click on “Next“ and then on “Finish“

Outlook 2010

  1. Open Outlook
  2. Open the Backstage area by clicking on “File“
  3. In the category “Information” click on “Account Settings” and “Add or Remove Accounts…”
  4. Highlight the POP3 E-mail account in question and click on “Change“
  5. Click on “More Settings“
  6. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server“
  7. Confirm the changes by clicking “OK“
  8. Click on “Next“ and then on “Finish“

Please note:  If you use an IMAP account, this could also lead to duplicate e-mails. We do not recommend synchronizing IMAP accounts.

Question 15:
How are synchronization conflicts resolved by SimpleSYN?

Answer:

If SimpleSYN is not run on one or more computers or if the computers are not connected via local network or Internet, synchronization conflicts can occur if:

  • an Outlook item is changed on multiple computers
  • an Outlook item is changed on one computer and deleted on another

SimpleSYN offers you several ways of manually resolving synchronization conflicts in the user interface under the menu point “Conflicts”. The overview lists all known conflicts. Double-click on an entry and specify in the next window how SimpleSYN should resolve the conflict. Here you have a choice of:

  • Use client item:
uses the item from the client list, changes on the server computer are overwritten
  • Use server item:
uses the item from the server list, changes on the client computer are overwritten
  • Copy item:
the item is only copied and both items are saved. Please note that only the item is duplicated
  • Do not synchronize:
the item is not synchronized. Both versions of the item are saved and treated equal. Please note: If one of the items is then changed the other item will be overwritten.

If the item is deleted on one of the computers you have the option of keeping the change or deleting the item.

Alternatively, you have the option of letting SimpleSYN resolve the conflicts automatically. Click here for further information on automatic conflict resolution.

Question 17:
I deleted an appointment with a reminder under Outlook 2007 or Outlook 2010. This deletion was correctly synchronized by SimpleSYN. Why is the reminder still being displayed?

Answer:

In the default setting SimpleSYN moves deletions into the folder “Deleted Objects/SimpleSYN“. As Outlook 2007 and Outlook 2010 show reminders from all folders except from the folder “Deleted Objects/SimpleSYN“, items deleted by SimpleSYN will still be present in reminders.

Proceed as follows to avoid this problem:

  • Change the standard folder for deleted objects in SimpleSYN. To do so open SimpleSYN and call up the menu “Options“, then “Advanced Options“. Deactivate the check box “Use default waste folder“ under “Move deleted Items to“. Click on the button “…“ and choose the folder “Deleted Objects“. Save the options.

Alternatively you can activate the check box “Delete items completly”. Please note that deletions will then be irretrievably removed from your computer.

Question 18:
What does the message “An error has occurred. During the access of your Outlook data an error has occurred“ mean?

Answer:

This message can be triggered by flawed Add-Ins from Third Party manufacturers. Outlook Add-Ins from Third Party manufacturers can hinder communication between SimpleSYN and Outlook.

Known problems: You may receive this message if you have the Apple Mobile Device Support Add-In installed, which is automatically installed by iTunes. The Add-in may make the PST file unusable for other applications when Outlook is shut down. Then SimpleSYN will also no longer be able to access the PST file.

To avoid the problem do not close Outlook while SimpleSYN is running.

If you are not using iTunes to synchronize an iPhone/iPod with Outlook, you could also deactivate the Add-in in Outlook.
