Problem solutions

If you have difficulties with SimpleSYN, read the following information.

Question / Problem Solution

SimpleSYN does not establish a connection, the symbol in the Windows® notification area is shown grey

If SimpleSYN cannot establish a connection make sure the following is correct:

  1. Make sure SimpleSYN is installed and started on both the client and the server computer
  2. At least one computer has to be configured as SimpleSYN-server and a second as SimpleSYN-client
  3. Install the latest version of SimpleSYN on all computers that are to be synchronized
  4. Make sure the computer have established a connection via the network and can communicate with each other. If Internet synchronization is used, make sure both computers are connected to the Internet.
  5. Check whether the time is correctly set on both computers. Set the same time on both computers.

If the Peer Name Resolution Protocol is being used:

  1. Make sure the correct server name has been entered into the SimpleSYN-clients. The server name is case sensitive.
  2. Make sure the server password has been entered correctly.
  3. Make sure the Internet synchronization has been activated or deactivated on all computers. This setting has to be equal on the SimpleSYN-server and all SimpleSYN-clients. More information can be found here.
  4. Make sure the setting “Use PNRP” is set equally on all computers. More information can be found here
  5. Make sure the option “Use secure PNRP name” has been set equally on all computers. More information can be found here
  6. Deactivate the usage of the Peer Name Resolution Protocol if a single Windows® Vista or Windows® 7 computer is to be synchronized with one or several Windows® XP computers. More information can be found here.

If the Peer Name Resolution Protocol is not being used:

      1. Make sure the correct computer name of the SimpleSYN-server has been entered into the SimpleSYN-clients.
      2. Make sure the setting “Use PNRP” is deactivated on all computers. More information can be found here.
      3. Make sure the name resolution functions in the network. Instead of the computer name it is possible to enter the IP-address of the SimpleSYN-server into the clients.

Check the firewall settings. More information about the needed firewall settings can be found here.

      No synchronization is taking place

Make sure the Outlook® folders supposed to be synchronized automatically are selected in the synchronization settings. More information can be found here.

The synchronization settings of the SimpleSYN-client only show “No folder information is currently available.” under “Server Folders

This message is being shown if the SimpleSYN-client cannot establish a connection to the SimpleSYN-server or if the SimpleSYN-server is not available. Make sure SimpleSYN has successfully established a connection between server and client. Right click the window of the server folders and click “Refresh”.

SimpleSYN is not being started automatically

Activate under the menu point “Options” the checkbox “Start with Windows”. More information can be found here.

      E-mail duplicates occur when synchronizing

Duplicate e-mails can occur when e-mails from more than one computer being synchronized are retrieved from the e-mail server. This is the case if the function “Leave copy of messages on the server” was activated in a POP3 E-mail account.

In this case deactivate the Outlook function “Leave copy of messages on the server” so as not to save e-mails in your mail server and download them repeatedly.

To deactivate this function follow these steps:

Outlook XP (2002) and Outlook 2003

      1. Open Outlook
      2. In the menu “Tools” click on “E-mail Accounts“
      3. Enable “View or change existing e-mail accounts “ and click on “Next”
      4. Highlight the POP3 E-mail account in question and click on “Change”
      5. Click on “More Settings“
      6. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server“
      7. Confirm the changes by clicking “OK“
      8. Click on “Next“ and then on “Finish

      Outlook 2007

      1. Open Outlook
      2. In the menu “Tools” click on “Account Settings
      3. Highlight the POP3 E-mail account in question and click on “Change
      4. Click on “More Settings
      5. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server
      6. Confirm the changes by clicking “OK
      7. Click on “Next“ and then on “Finish

      Outlook 2010

      1. Open Outlook
      2. Open the Backstage area by clicking on “File
      3. In the category “Information” click on “Account Settings” and “Add or Remove Accounts…
      4. Highlight the POP3 E-mail account in question and click on “Change
      5. Click on “More Settings
      6. In the tab “Advanced” deactivate the check box “Leave copy of messages on the server “
      7. Confirm the changes by clicking “OK“
      8. Click on “Next“ and then on “Finish

Please note: If you use an IMAP account, this could also lead to duplicate e-mails. We do not recommend synchronizing IMAP accounts.

Should this feature be necessary other solution possibilities exist:

      • Disable automatic synchronization of SimpleSYN, fetch the e-mails on both computers and manually synchronize SimpleSYN afterwards
      • End SimpleSYN before fetching the e-mails and only restart SimpleSYN after both computers have fetched the e-mails.
      • Set the E-mail account up so that e-mails are retrieved by one computer and sent from another one

Initial synchronization leads to duplicates of tasks, contacts or dates

If SimpleSYN apparently duplicates tasks, contacts or dates during the initial synchronization these have as a rule been created manually beforehand and therefore different for SimpleSYN. Usage of other synchronization tools may also lead to duplicates during the initial synchronization of SimpleSYN.

Delete the doubled items. All further synchronizations won’t create duplicates

Reminders of deleted items in Outlook® 2007 or newer occur

Deletions in default settings of SimpleSYN are moved into the folder “Deleted Items à SimpleSYN”. As Outlook® 2007 shows reminders for all folders apart the folder “Deleted Items” the reminders for items deleted by SimpleSYN are still shown.

To bypass this problem set SimpleSYN up to move the deleted items into the folder “Deleted Items” instead of the subfolder “SimpleSYN”. To do this open the SimpleSYN main window and modify the standard folder for deleted items under the menu point “Options à Advanced Options”. More information can be found here.

      Some conflicts cannot be solved

If a conflict occurs during automatic synchronization and the target folder settings are being modified before the conflict is solved it may happen that the conflict cannot be solved anymore.

In this case synchronize once manually into the same folder as before to allow conflict solution. To do this open the according folder in Outlook® and click on the button “Synchronize Folder to” in the SimpleSYN toolbar. In the following SimpleSYN dialog select the previous Outlook® folder as target for the synchronization. The Outlook® folders used during conflict occurrence are shown in the conflict overview.

Already solved conflicts can be hidden from the list. More information can be found here.

Synchronization via Internet is not possible, no connection is being established

Internet synchronization might be limited if the computer is located in a domain network as SimpleSYN needs the Peer Name Resolution Protocol for Internet synchronization. This needs IPv6. To activate synchronization via Internet make sure that IPv6 and the Peer Name Resolution Protocol function correctly. If your network does not support IPv6 natively a tunnel protocol such as Teredo is needed to allow for Internet synchronization. More information about SimpleSYN in a domain environment can be found here

The SimpleSYN toolbar is not being shown in Outlook®

Check whether the SimpleSYN Add-in has been deactivated by Outlook®. Open Outlook® and follow the instructions.

      Outlook® 2007 or newer:

      1. Go to “Trust Center
      2. Click on “Add-Ins” and check whether the SimpleSYN Add-In has been deactivated. Reactivate the Add-In.

       Older Outlook® versions:

      1. Click on the Outlook® menu “Help” or “?”
      2. Click on “Info” and then on “Deactivated elements”. If the SimpleSYN Add-In is listed, reactivate it.

The notification “Some folders could not be synchronized” is shown

This notification appears if the target folder for the synchronization of one or several folders is not available. This can have several reasons:

      1. The available folders have been restricted. More information can be found here.
      2. New folders cannot be created. More information can be found here.
      3. The data store is currently not available.

Click on the notification to show the not synchronizeable folders. Here it is possible to specify how to handle the unsynchronized folders. Click on “Do not synchronize this folder” to not show the notification again

The error message “An error occurred during access of your Outlook data.” is shown

This message can be caused by faulty Outlook® Add-Ins of third party producers. Faulty Add-Ins of third parties can affect the closing of Outlook® which may leads to locking of the Outlook® PST file. This prevents communication between SimpleSYN and Outlook®.

In this case deinstall the faulty Add-In, contact the support of the producer or wait for an update.

The message can also occur if your PST file is corrupt. More information about checking the PST files can be found under

      http://support.microsoft.com/?scid=kb%3Ben-us%3B287497&x=10&y=14

The error message “Authentication failed” is shown

Make sure that the logon data for the SimpleSYN-server is correct. More information can be found here.

The error message “The server password is wrong” is shown

      Enter the correct server password.

      Windows® XP with Windows Vista® / Windows® 7

If one or several Windows® XP computers are run together with a single Windows Vista® or Windows® 7 computer it may happen that SimpleSYN cannot establish a connection via the Peer Name Resolution Protocol. In this case configure SimpleSYN for synchronization via Internet to bypass this problem. Alternatively switch off the usage of the Peer Name Resolution Protocol. More information about synchronization via Internet can be found here. Information about configuration of SimpleSYN without the Peer Name Resolution Protocol can be found here.

      Firewall settings

To change the Windows® firewall settings it is necessary to have administrator rights.

SimpleSYN checks the settings of the Windows® firewall concerning the needed exceptions. SimpleSYN is also able to enter the needed exceptions into the Windows® firewall.

The menu point “Status” (see here) of SimpleSYN shows in detail whether there are any problems concerning the Windows® firewall.

If a firewall of third party producers is detected SimpleSYN only indicates that it has to be configured correctly. Modifications of third party firewalls cannot be done by SimpleSYN.

In Windows Vista® or newer SimpleSYN enters the needed exceptions into all network profiles but only activates them in the private profile “Home network”. If the current network profile set on “Public network” or “Work network”, re-categorize the network as “Home network” or unblock SimpleSYN manually in the Windows® firewall by activating the SimpleSYN firewall regulations in the according network profile.

      How to re-categorize the network

Do not change the network profile to “Home network” if you are in an unsafe network such as a public hot spot.

The following steps do not apply to Windows® XP.

If the current network profile is a domain network it is impossible to re-categorize the network. Contact your system administrator.

      1. Open the Windows Control Panel
      2. Click on “Network and Internet” and afterwards on “Network and Sharing Center
      3. For Windows Vista®

        1. Click on “Customize”. In the dialog “Set Network Location” select the location type “Private”. Click on “Next” and follow the instructions.
        For Windows® 7
        1. Click on “View your active networks” and then on “public network”. In the following dialog select “Home Network” or “Work Network” as the new location for your network.

      Needed firewall exceptions

SimpleSYN needs the following exceptions in firewall software.

Outgoing network traffic should be completely permitted for SimpleSYN as the used TCP-ports can change dynamically.

      Port (IPv4 / IPv6) Program / Service
      TCP 9234 CBN.SimpleSYN.NET.exe
UDP 3540 Service „PNRPSvc Only if using the Peer Name Resolution Protocol
UDP 1900 Service „SSDPSrv Only if using the Peer Name Resolution Protocol

If the Peer Name Resolution Protocol is not being used and the computer name of the SimpleSYN-server computer is used for the connection SimpleSYN needs NetBIOS to find the SimpleSYN-server. In a domain DNS is used instead.

If your network does not natively support IPv6 the tunnel protocol Teredo is used. For Internet synchronization while using the tunnel protocol Teredo Edge Traversal has to be allowed for SimpleSYN and the Peer Name Resolution Protocol.

The tunnel protocol Teredo needs an active firewall that supports IPv6 and Teredo. This can be the Windows® firewall. If no active IPv6 firewall is recognized Teredo deactivates automatically. Therefore the Peer Name Resolution Protocol cannot function if the current network does not natively support IPv6. The status of Teredo/IPv6 is not being tested by SimpleSYN.

      SimpleSYN in a domain environment

SimpleSYN does not use the Peer Name Resolution Protocol during setup with the configuration wizard in a domain environment as the protocol may not be available. The connection will be established through the SimpleSYN server computer name, the DNS-name or the IP-address of the server computer instead.

The Peer Name Resolution Protocol is not mandatory for running SimpleSYN. But the Peer Name Resolution Protocol does massively ease the configuration. This applies above all to synchronization via Internet. For synchronization via Internet it is also possible to use techniques such as virtual private networks (VPN).

The Peer Name Resolution Protocol uses IPv6 for communication. If your domain network does not natively support IPv6 a tunnel technology that allows running IPv6 in IPv4 is needed. Microsoft® Windows® contains the tunnel protocol Teredo to this end. In an administrated domain environment Teredo is not activated in default settings.

When using the tunnel protocol Teredo the SimpleSYN server computer will be accessible from the outside through IPv4 firewalls and despite Network Address Translation (NAT). This may bypass your security guidelines.

      Activate Teredo

Administrator or domain administrator rights are needed to modify the Teredo configuration.

As long as your network does not natively support IPv6 the tunnel technology Teredo is needed to allow proper functioning of the Peer Name Resolution Protocol. In an administrated domain environment Teredo is not being activated by default. The Teredo protocol has to be setup for usage in a domain.

Open a command line with administrator rights and enter the following command to configure Teredo correctly:

netsh interface ipv6 set teredo enterpriseclient

The current status of Teredo can be determined with the following command:

      netsh interface ipv6 show teredo

The shown status has to be either “dormant” (Teredo is not being used currently) or “qualified”. The default type is “client”, in a domain network it has to be set on “enterpriseclient”. Otherwise Teredo will show a warning that it is deactivated in the administrated network.
