Before SimpleSYN Mobile can be used for synchronization, you must set up SimpleSYN Mobile once, configure the devices you want to synchronize and connect them to SimpleSYN Mobile.

The setup process therefore includes two steps:

  1. Installing and setting up the SimpleSYN Mobile software on your Windows® PC with Outlook® installed.
  2. The configuration on your devices (e.g. smartphone).

During setup on the PC, a SimpleSYN Mobile pseudo email address is automatically generated. The address has the ending @simplesyn.app and is required to establish a connection from your device.

Step 1

Set up on your Windows PC:

  1. Start SimpleSYN Mobile after installation, e.g. by double-clicking on the SimpleSYN Mobile desktop icon.
  2. You will automatically be taken to the setup page. Click "Next".
  3. In the next step, you can configure your account. Enter a name for your account and choose a password. Repeat your password.

    Note: Make sure to choose a secure password. An indicator is displayed that reflects the security of the password.

    Click "Next"

  4. Your SimpleSYN Mobile account has been set up. During setup, a special SimpleSYN-Mobile email address is also configured for you. This pseudo email address is not intended for real sending and receiving and is required to establish a connection from your device.

    Have the pseudo email address and password ready to configure your device

After setting up the account, all Outlook folders of the Outlook standard data file are included for synchronization with the device. Within the Configuration page you can adjust the synchronization if necessary and set up other user accounts. Each Outlook data file you want to synchronize requires its own user account.

Step 2

Set up your smartphone or tablet computer

After you have set up SimpleSYN Mobile on your PC, you still need to configure your devices. Make sure in advance that SimpleSYN Mobile is fully configured and running on your PC.

The first synchronization after setting up the account on the device starts automatically and may take some time depending on the number of folders and items.

Note: There is usually no need to install an additional app on your mobile device. For setting up the synchronization on the device, a special SimpleSYN Mobile account of the type "Exchange ActiveSync" is created.

During the first synchronization, the data is synchronized from Outlook to the mobile device. Changes made in this account after the first synchronization are always synchronized by SimpleSYN Mobile to both sides (bidirectional).

E-mails, appointments and contacts that were saved on the mobile device before the first synchronization, i.e. that are not in the SimpleSYN account, are not synchronized to Outlook because they use different accounts. If you also want to keep this data up to date in the future, make sure that this data is also available in Outlook before the first synchronization.

Set up for Android devices

The setup of Android devices may differ depending on the manufacturer, version, and installed apps. Below are some examples of common configurations.

SimpleSYN Mobile uses the Exchange ActiveSync protocol for synchronization. If in doubt, ask your device manufacturer how to set up an Exchange ActiveSync account.

If you have a device with Android 9.0 (Android Pie), you can use the Google Gmail app for emails, as well as the normal contacts and calendar apps with SimpleSYN Mobile.

To set up an Android 9.0 device, follow these steps.

  1. Open the settings of your Android device.



  2. Tap “Accounts” and then tap “Add Account”.



  3. Tap “Exchange”.

  4. The Gmail app will then open. Enter the previously remembered pseudo email address (with the extension @simplesyn.app) and tap “Next”.



  5. In the next dialog, enter your previously created password and tap “Next”.



    Pay attention to the correct spelling of the email address and password.

  6. The account information is then retrieved and displayed for control. Tap “Next” to confirm the settings.

    Important: Leave all settings unchanged in this dialog.

    If you have mistyped when entering the email address or password, there will be no error message at this point, but the settings are incomplete and synchronization cannot take place. Make sure that "Server" displays a longer string of numbers and letters, followed by ".simplesyn.app".

    If only"simplesyn.app" is displayed in "Server", you probably have typed in a wrong email address or password. In this case, tap the back arrow and check the email address and password details.

  7. Confirm the access policy displayed in the following dialog with tapping “OK”.



  8. In the last dialog you can assign a display name for the SimpleSYN Mobile account. This is used to differentiate if you want to set up multiple accounts on your Android device. Tap "Next" to complete the setup.

If you have a device with Android 10 or newer, you can use the Google Gmail app for emails and tasks, as well as the normal contacts and calendar apps with SimpleSYN Mobile.

Follow these steps to set up a device running Android 10 or newer.

  1. Open the settings of your Android device.



  2. Tap “Accounts”, then tap “Add Account”.




  3. Tap “Exchange”.



  4. The Gmail app will then open. Enter the previously noted pseudo email address (with the extension @simplesyn.app). and tap “Next”.



  5. In the next dialog, enter your previously created password. Then tap “Next”.




  6. The account information will then be retrieved, and your SimpleSYN Mobile account will be set up. Tap “Finish” to complete the setup.



    If you have mistyped when entering the email or password, you will be prompted to correct the error and the setup cannot be completed.

Below you will find an example of setting up an account for the Sony Xperia email app.

  1. Open the settings of your Android device.
  2. Tap “Users & Accounts”, or “Accounts”.



  3. Tap “Add Account”.



  4. Tap "Exchange ActiveSync".

    Note:The title may vary depending on the manufacturer and Android version, e.g. "Exchange"or "Company" insteadof "Exchange ActiveSync". You can also use the Exchange account type with the Gmail app (formerly Google Mail). For setup steps, see "Setup Android version 9.0 with Gmail app" (page 17) and the following sections.

    In the following screen, enter the previously remembered email address and tap on "Next".



  5. Enter the noted password.



  6. The account is then set up.



  7. If necessary, you can make further settings. Follow the instructions.



  8. Complete the setup by tapping “Complete setup”.

Set up for iPhone/iPad

With SimpleSYN Mobile you can sync your Apple iPad or iPhone. Emails, contacts, calendars, tasks and notes can be synchronized.

Below are some examples of how to set up SimpleSYN Mobile on iPad or iPhone. Individual names may differ slightly depending on the iOS version.

  1. Open the settings of your Apple iOS device.
  2. Tap “Passwords & Accounts”.



  3. Tap “Add account”.



  4. Tap “Exchange”.



  5. Enter the email address that was automatically generated for the user. This email address ends in @simplesyn.app. Click “Next”.



  6. Tap “Sign In”.



  7. Enter the password you have assigned to the user and the tap on “Next”.



    If you have made a mistake when entering the email address or password, the settings for the SimpleSYN Mobile connection cannot be determined automatically. In this case, a dialog appears that can be used for advanced configuration (e.g. an input for the server to use). You can recognize an incorrect configuration by the fact that the "Server "field is empty in the following dialog.

    In this case, tap "Cancel"and repeat the process so that the settings can be found automatically

    You have successfully set up SimpleSYN Mobile and can choose the items you want to sync. Tap “Save” to finish.

Below are the steps required to set up a device running iOS / iPadOS 14, 15, 16 or 17. The steps differ only slightly from the previous versions.

  1. Open the settings of your Apple deviceand 



  2. Tap “Mail”, “Contacts”, “Calendar”, or “Notes” and then tap “Accounts”.



  3. Tap “Add Account”.



  4. Tap “Microsoft Exchange”.



  5. Enter the email address that was automatically generated for the user. This email address ends in @simplesyn.app. Tap "Next".



  6. Tap “Sign In”.



  7. Enter the password you have assigned to the user and then tap “Next”.



    If you have made a mistake when entering the email address or password, the settings for the SimpleSYN Mobile connection cannot be determined automatically. In this case, a dialog appears that can be used for advanced configuration (e.g. an input for the server to use). You can recognize this error by the fact that the "Server" field in the following dialog is empty.

    In this case, tap "Cancel"and repeat the process so that the settings can be found automatically.

  8. You have successfully set up SimpleSYN Mobile and can choose the items you want to sync. Tap “Save” to finish.

Set up for Windows 10 or Windows 11

You can sync additional Windows 10/11 devices (including devices based on ARM processors) without Outlook® or Office 365 installations, by using the integrated apps “Mail”, “Calendar” and “People”.

Proceed as follows:

  1. Click on "Start -> Settings" and then on "Accounts".
  2. Click on "Email & Accounts".
  3. Click on "Add Account".
  4. Click the "Exchange, Office 365" account type.
  5. Enter the email address that was automatically generated for the user. This email address ends in @simplesyn.app.
  6. Click on "Next" and enter the password you have assigned to the user.
  7. Click on "Login".
  8. You have successfully set up SimpleSYN Mobile.
