If you have made changes to the Outlook default color categories, you must ensure that the color category list (formerly the "Main Category List") is manually configured identically on all PCs. SimpleSYN does not automatically synchronize this list. The categories assigned to the items are retained and correctly synchronized by SimpleSYN.

Starting with version 6, the "Add new categories to the main category list" function is available.

If this option is enabled, SimpleSYN checks during synchronization whether all categories used in the items are also present in the main category list. If a category is missing, it is automatically added to the list with a default color. You can then manually adjust the color to ensure a consistent display across all devices.

SimpleSYN requires an active internet connection for its operation. The internet connection is required to connect to a central server operated by SimpleSYN. This server is used to help in the establishment of a direct connection between the SimpleSYN server and SimpleSYN client. Only data required for establishing the connection is transferred via this central server. After establishing an connection, SimpleSYN uses the best connectivity available.

If SimpleSYN Business is used to synchronize via the Internet and it is impossible to create a direct connection between SimpleSYN server and SimpleSYN client, e.g. because of Firewalls NAT or Routers are blocking the direct connection, SimpleSYN uses a relay server as a last resort. This relay server allows SimpleSYN to communicate even if only outgoing traffic is allowed from your networks.

In either case the connection between SimpleSYN will always  use an SSL/TLS encryption respectively.

Your Outlook data is never transferred in clear-text nor stored permanently on our Internet servers (no Cloud).

Note: SimpleSYN only supports proxy servers as of version 5. In all previous versions, SimpleSYN must communicate with our servers located at services.simplesyn.net.

IMAP accounts store your emails directly on your email provider's server. This means your emails are automatically synchronized across all your devices.

Important:
Since IMAP already automatically synchronizes email folders (such as Inbox, Sent Items), additional synchronization of these folders with SimpleSYN is not possible. This would lead to conflicts. Therefore, SimpleSYN does not display these email folders in the "Synchronization Settings" on the client.

 Even though email folders cannot be synchronized with IMAP, other local Outlook data such as:

  • Calendar
  • Contacts
  • Tasks
  • Notes

can be easily synchronized with SimpleSYN. 

If you also want your email folders to be synchronized via SimpleSYN, you should use a POP3 account on all PCs instead.

When using the automatic synchronization it is also possible to synchronize all Outlook® subfolders automatically. The Outlook® subfolders will use the same synchronization direction and settings as their parent folder. Changes to the folder hierarchy below a selected folder are being synchronized.

Changes of the selected parent folder are not automatically synchronized. If a selected parent folder is being moved or deleted, the synchronization of this folder and all of its children will stop and is marked with a red X in the synchronization settings.

If you would like to continue synchronizing this folder at the new location, check the assignment of the folder in the synchronization settings on the client PC and save the page.

Moved subfolders are being deleted and completely resynchronized on the remote computer Deleted folders are also deleted on the remote side; all data inside the folder will be deleted in this case.

SimpleSYN is a Client-/Server application. In your SimpleSYN network one PC must be configured as a server. The SimpleSYN server must be authorized in the Windows Firewall and/or Desktop firewall.

Please make sure that SimpleSYN is allowed in your personal firewall.

SimpleSYN must communicate with our servers located at services.simplesyn.net.

During the trial period, SimpleSYN Standard and Business will only display a notification window upon startup, indicating the remaining trial time, which you must manually confirm.

You can test SimpleSYN free of charge and without obligation for 30 days. After the trial period, further use without a license is no longer possible.

If a computer is not reachable over network or Internet, then the synchronization is carried out as soon as the computer is back in the network or online and SimpleSYN has established a connection with the SimpleSYN server.

All Outlook items that were changed or created up to that point are automatically recognized and synchronized by SimpleSYN.

The synchronization is not carried out in specific intervals, but rather as needed. As soon as the SimpleSYN client and SimpleSYN server have a connection the synchronization is carried out continuously and virtually in real-time.  After the initial synchronization only changes to the Outlook database are exchanged. The Outlook synchronization runs automatically in the background.

Example: If a new e-mail is received, an existing e-mail is changed, deleted of moved, SimpleSYN will immediately synchronize this action on all computers. SimpleSYN checks if the target folder already contains the e-mail. If the e-mail does not exist it is synchronized into the folder. If the e-mail already exists it will only be synchronized if a change has occurred. If the target computer is not reachable, the e-mail is synchronized as soon as the computer establishes a connection over the local network.

Licenses are offered as a one time payment. There are no additional costs per month/year. The license entitles you to use the licensed version (e.g. version 5.0). Minor updates (eg version 5.0 to version 5.0.1 etc.) are included. Major upgrades to new versions (eg version 5.x to version 6) are subject to a fee, but optional.

Open the SimpleSYN options > advanced options and under “Outlook version” select your current Outlook version (2016 or 2013).  Save the settings and restart SimpleSYN.
